GenAI-powered Solution delivers ~$575K in annual savings for a U.S. healthcare education provider

About the customer

Our client is a reputed U.S. healthcare education provider, serving many registered learners across a portfolio of universities and professional certification programs. With a mission to expand access to high-quality healthcare and medical training, the organization supports prospective students and enrolled learners across both domestic and international markets, at a scale that demands excellence at every touchpoint.

Business Challenges

With a growing number of registered learners and rapidly increasing volumes of student inquiries, our client’s enrollment and student support model has reached the limits of its scalability, leading to operational inefficiencies and missed opportunities. The existing system was primarily phone-based, manually intensive, and offered no self-service option—creating significant bottlenecks for both students, enrollment teams, and leaving international learners with limited personalized support.

Following are the areas for which the client partnered with Aspire Systems:

  • Empowering enrollment specialists to focus on relationship-building and nuanced student conversations, rather than time-consuming manual information retrieval across multiple institutional systems.
  • Giving students greater agency through self-service support that could handle routine academic and administrative inquiries around the clock.
  • Serving a globally diverse learner population with the personalized, multilingual support that international students deserve.
  • Strengthening compliance posture by ensuring consistent, citation-backed responses across all institutions and interaction channels.
  • Unifying data access to bring the full picture of a student's profile into every conversation.

The solution

To analyze communication bottlenecks and operational inefficiencies in the existing phone-based system, our experts worked closely with the client to design a GenAI-powered Student Support Platform that prioritizes adaptive engagement, tailored to each student's preferences, program, and learning journey. The developed platform was designed in a way that it deploys two specialized, persona-driven AI assistants, underpinned by a multi-agent architecture, a RAG-based knowledge engine, and deep CRM integration.

The Solution architecture

The solution was delivered through four interconnected components, a multi-agent orchestration architecture and three specialized bots, each designed for a distinct audience and use case. The architecture forms the intelligent backbone that powers all three, ensuring every interaction is accurate, contextual, and continuously improving.

1. Intelligent Knowledge Foundation

At the core of the platform is a proprietary knowledge engine built to continuously index 8,500+ webpages, PDFs, and SharePoint documents across all member institutions, ensuring the knowledge base stays current without manual intervention.

2. Multi-Agent Orchestration Layer

The platform deploys a coordinated network of specialized agents, each handling a discrete function, working in concert to produce accurate, personalized, and compliant outputs. This architecture ensures every response is fast, accurate, contextually appropriate, and continuously improving.

3. Enrollment Specialist Co-Pilot

The first AI persona was purpose-built for enrollment teams — a real-time intelligence layer embedded directly within the Salesforce CRM environment. Here’s what it does: when an inbound call arrives via the organization's telephony platform, the Co-Pilot automatically identifies the prospect and surfaces a comprehensive profile: demographics, program interest, financial aid eligibility, compliance-relevant context, and applicable offers. This component is enriched with:

  • Real-time information surfacing
  • Proactive response suggestions
  • Full conversation context
  • Seamless escalation

4. Student Self-Service Assistant

Our experts developed an always-on support directly in the student's hands to handle the full range of routine academic and administrative inquiries such as programs, course registration, financial aid, doctoral requirements, and language-specific needs with responses personalized to each student's profile and program. This component is enriched with:

  • Multilingual support
  • Source-cited responses
  • Multi-turn dialogue
  • centralized feedback tracker
